U.S. Air Force Academy Transportation Assistant (Team Travel) in Air Force Academy, Colorado

This position will be assigned to the Athletic Department, Air Force Academy, Colorado. This position does include benefits.

Responsibilities

Assists in the team travel activities of the Intercollegiate Team Logistics Office helping to ensure that all travel is accomplished in the most effective and cost efficient manner while taking into account the needs of the traveler, team, coaching staff, and the Directorate of Athletics as a whole. Knowledgeable in the travel field with working knowledge of AFI24-602, USAFAI24-101, DoD4500.32-R, JTR, NCAA and other travel related Air Force, Department of Defense Instructions, Directives & Regulations and NCAA travel rules. Implements the goals and objectives that integrate organizational and mission objectives to ensure a positive cadet-athlete experience with regards to team travel while ensuring compliance with legal, regulatory, and NCAA requirements. Assists with the coordination of team travel for 27 intercollegiate athletic teams to include movement of cadets and staff via military airlift, commercial air, government and commercially chartered buses and other vehicles. Works closely with coaching staffs developing relationships to understand and serve the team in the best manner possible ensuring the best customer service while upholding government & NCAA rules and requirements. Assists in preparation of tracking and financial reports for team travel. Assists in the process of reviewing policies, procedures, mission objectives and organizational design to help eliminate problems or barriers to mission accomplishment. Acts as an advocate for cadet-athletes ensuring they receive the highest quality travel product available while operating within the guidelines of NCAA, Air Force & DoD rules, regulations and instructions. Builds travel profiles in the Defense Travel System (DTS) for individual travelers and assists in the reservation and vouchering process. Prepares travel documentation to include orders for team travel, tutors, parents & cadets traveling for emergency purposes on NCAA funds, etc. Performs additional duties as required by supervisor and other Directorate of Athletics senior staff. Responsible for procuring and managing all missed meals required for the teams. Submits all required paperwork to AD Finance and ensure accuracy. Assists Sports Medicine in managing the Red Card program. Monitors/initiates/coordinates/follows-up with coaches and ORs on the ARMS Team Travel Process. Will work closely with AT and squads to centrally manage trip itineraries with oversight and accountability items. Qualifying Experience: Requires working knowledge of government and NCAA Division 1 level travel policies including working with commercial travel agents in the procurement of air and ground transportation, coordination of government lodging and group transportation and coordinating all aspects of team travel. Must have working knowledge of government per diem rates, allowable meal costs, government city-pair fares and other budgetary requirements to minimize the expenditure of government funds. Must have an understanding of Government Travel Card policies and basic knowledge of the Defense Travel System (DTS) to assist individual travelers with their government transportation requirements. Requires strong organizational, written and verbal communication skills. Previous experience in dynamic and high-paced work environment. Knowledge of office automation software (MS Office, including Word, Excel, PowerPoint, Outlook and Adobe) is required.

Education

Some federal jobs allow you to substitute your education for the required experience in order to qualify. This position does not allow for education substitution. FOREIGN EDUCATION: Education completed in foreign colleges or universities may be used to meet the requirements. You must show proof the education credentials have been deemed to be at least equivalent to that gained in conventional U.S. education program.
